Outside Vendor Policy

Graham Banquet Center (GBC) has been the top choice wedding venue for five years and we have refined the process to ensure a perfect event for our brides. Our vendors are also delighted with GBC because we provide the necessary information for you to please your client as well. Please follow the wedding vendor guidelines below so we may work together to produce the best possible experience for our clients.

Arrival Procedures

  • Arrive on time!
  • Do not park in front of the building. No vehicle is allowed to park at the front door of the building at anytime, for any reason.
  • Loading zones are to the left and right of the building.
  • Keys must remain in the vehicle while in loading zones.
  • Vendors can unload, then park in parking lots while finishing setup to allow others access.
  • Do not cause damage, vendors will be held financially responsible for any damage to GBC that occurs, directly or indirectly as a result of their actions.

Equipment

  • We do not store or loan equipment or tools for guests or vendors for any reason.
  • To ensure protection of our custom designed epoxy ballroom floor and other flooring in our facility we ask that you cover bottom of equipment with felt to prevent damage.
  • At no time are you allowed to slide items across the floors.  They’ll need to be picked up, use a dolly/cart or it has wheels to move.
  • Any rentals of our items must be arranged and paid for at the time of the final payment becomes due.

Access Time:

  • Set up must be completed 1 hour prior to the event.
  • If something is to be removed following an event, the vendor will have this completed 1 hour after the event ending time.
  • Late clean up fees may be accessed to vendors who fail to vacate the premises within the allotted time.

Cleanup

  • If your service creates trash or boxes, you are required to take them with you when you leave.
  • Vendors are responsible for cleaning up their own mess after they have completed their setup.
  • All items must be removed 1 hour after the event.  Any items left are discarded otherwise.

Photographer/Videographers

  • Schedule: Our event coordinator typically “budgets” 40-60 minutes following the ceremony to finish with pictures. If this is not sufficient please notify the Event Planner of the appropriate schedule adjustments.
  • Gear: Please help us by storing your gear/baggage in a manner so it does not interfere with traffic flow in the building.  You may keep these items in the hallway outside of the ballroom.  We’re not responsible for any lost or stolen items.

Disc Jockeys/Bands

  • Schedule: Our Event Coordinator typically plans the itinerary with the client. If you wish to deviate significantly from that plan, please have Event Planner notify us of the changes.
  • Gear: Bring what you need to perform the contracted services.

Florist/Decorators

  • Prohibited Items: Plumosa, and other shedding greenery, glitter, confetti, poppers, rice or birdseed, and candles without vases/globes (no open flame).
  • Fasteners: No nails, screws, tacks, tape, glue or any other items that damages/stains paint, wood, glass, metal, vinyl, fabric, brick or stone.
  • Gear: Bring your own ladder, clean up items, and whatever you need to carry out your contracted service.

Cakes/Desserts

  • Only “non-perishable” food items may be brought on GBC premises.
  • Gear: If you are leaving structural/decorative items at GBC to pick up later, notify our staff before leaving the building. Graham Banquet Center is not responsible for lost or damaged items. Please leave cake boxes for top and extra cake under the cake table.  We do not have refrigeration for these items.
  • Vendor or Customer to supply dessert plates, forks, napkins and cutting utensils.  GBC does not provide boxes for left over desserts.
  • Cake, cookie, and dessert stands are available for rent through GBC but must be arranged in advance of the event date to ensure availability.
  • Cake cutting service is available through GBC for $1.50 per slice or you may appoint someone.
  • GBC does not have refrigeration for cakes and desserts.  Please plan delivery times accordingly.

Party Favors

  • Absolutely no alcoholic beverages! Any alcoholic beverage not supplied by GBC will be confiscated and additional fees will apply and will be charged to the card on file.
  • Delivery of items for events will not be accepted until the day of the event. Items must be in sturdy box with name and date of event clearly marked.
  • Glitter, confetti, poppers, rice, birdseed or other scattering celebration media are strictly prohibited. Fireworks or Sparklers are not permitted.

Party Rentals

  • All outside rentals must coordinate with GBC for delivery and pick-up.
  • Basic linens, china, flatware, and glassware are included in menu prices.
  • Additional linen, centerpieces, gold or mahogany chiavari chairs are an additional rental fee through GBC.
  • All additional chargers, china, flatware and glassware must be contracted by GBC, and an 18% service fee will be applied to all items.
